Overview

Under the direction of the Staffing Manager and within the guidelines of established staffing patterns and the union contract, the Staffing Tech is responsible for ensuring that the appropriate staff and staff mix are on each unit on a daily basis (for three (3) shifts), to provide care for Loretto Cunningham/Fahey residents. The total nursing staff is approximately 450 people.

Responsibilities

Job duties specific to this position:

1. Responsible for staffing each unit adequately on a daily basis for all three shifts.

  • Knows the union contract rules as relates to Nursing Staff (LPN and CNA).
  • Knows floating policies and enforces them.
  • Maintains and updates the Overtime and Part-Time logbook on a daily basis.
  • Knows and initiates mandation process when necessary.
  • Continually replenishes staff shortages due to call-ins, no call no shows, shift cancellations, or staff needing to leave unexpectedly.
  • Ensures staffing levels are achieved for each area.
  • Does not pre-assign shifts for CNAs.
  • Demonstrates knowledge of minimums and maximums of nursing units and maintains safe staffing coverage.
  • Updates ANSOS (scheduling system) on a daily basis regarding scheduling changes.

2. Communicates effectively with DON’s, Nurse Managers, Nursing Supervisors, Staffing/Payroll Specialists, unit staff and Agency Personnel.

  • Communicates appropriately and professionally with all contacts.
  • Communicates accurately with staff and agencies to cover open shifts.
  • Communicates with Payroll, HR, Employee Health, and Education for staff related issues.
  • Prepares daily log of all nursing employee activity for previous 24 hours for distribution to all Nurse Managers.

Manages information effectively. Maintains confidentiality for staff and resident issues, and follows all data and technology privacy policies.

  • Communicates with nursing units regarding all scheduling/staffing changes to maintain accurate and current schedules.
  • Manages voicemail as well as faxes to agencies and units as necessary.
  • Identifies potential problems and resolves or refers to appropriate area or person.
  • Participates in problem solving and makes recommendations and suggestions for positive procedure changes.
  • Exhibits professional telephone courtesy for a high volume of calls, i.e. answers phone promptly, greets callers positively and with proper identification, takes accurate messages and successfully transfers call and places people on hold.
  • Maintains patience and a cooperative attitude in the face of conflict or discord among staff.

3. Uses Loretto’s computer technology to achieve staffing objectives:

  • Accesses e-mail for necessary communications.
  • Consistently performs computer searches in ANSOS to confirm/adjust employee schedules.
  • Prints staffing worksheets on a weekly basis for the office and Nurse Supervisors to work with.
  • Prints daily logs of overtime and agency usage.
  • Prints mandation list by seniority as needed.

4. Knows and executes union contract within parameters of staffing issues.

  • Follows OT and PT Logbook as regulated.
  • Uses union contract as a resource when necessary.
  • Maintains staff confidentiality as required.
  • Follows contract guidelines for additional and OT scheduling of LPN’s and CNA’s.
  • Recognizes and acts on situation that requires additional attention.

5. Assists in maintaining a clean, neat and safe environment for the residents, visitors and other staff.

  • Adheres to standards of conduct as established in the employee handbook.
  • Demonstrates commitment to nursing and the Loretto philosophy through behavior and communications with nursing, residents and ancillary staff.
  • Follows unit specific infection control policies and procedures.
  • Follows facility safety guidelines.
  • Adheres to Human Resources standards and policies.
  • Adheres to Resident Rights regulations.
  • Follows facility policies and procedures.
  • Recognizes and responds to emergent situation efficiently and effectively by managing self, residents, staff and other appropriately.

6. Works cooperatively within the health care team.

  • Adapts to changes in job responsibilities in a professional manner.
  • Accepts assignments in a professional manner.
  • Responds to and handles situations in an appropriate manner following the chain of command for resolution.

7. Demonstrates a proactive approach regarding customer service and a professional work ethic to residents, families, staff and ancillary agencies.

8. Cooperates with leadership staff in implementing planned changes and activities to improve residents’ care or overall functioning of the clinical unit as it relates to staffing.

9. Adheres to nursing dress code policy.

10. Arrives on time for assigned shift, prepared to work. Follows clock in procedure.

Qualifications

  • Must be able to read, write, and speak clearly and professionally on the phone.
  • Proficient with MS office and able to learn new software rapidly.
  • Accurate and detail oriented.
  • Ability to maintain composure when faced with conflict.
  • Flexiblity to work hours or shifts as needed.
