Overview

The Resident Services Manager oversees all receptionist staff and serves as the primary business office manager for the building. This position is responsible for maintaining financial records related to resident PFA accounts, including the distribution of funds, while overseeing front office operations, medication transportation, and the procurement of office and medical supplies.

Responsibilities

Job duties specific to this position:  

 

  • Responsible for exceptional customer service and ensuring timely responses to residents.
  • Supervises receptionists, ensures daily front desk coverage and relieves the receptionist for lunch as needed.
  • Oversees petty cash transactions.
  • Manges and trains receptionist in building emergency response procedures (Fire, Power Outage, Missing Person, etc.).
  • Primary contact for front office vendors (U.S. Post Office, Pro-Shred, Newspaper, etc.).
  • Manages and ensures appropriate scheduling to meet all resident transportation needs in a timely and customer-focused manner.
  • Ensure that receptionists complete annual requirements in a timely manner. (Reorientation, physical, in-service hours, annual performance reviews etc.).
  • Effectively communicates changes in regulations, policies & procedures affecting front office staff.
  • Actively participates in Quality Assurance initiatives as appropriate and requested.
  • Responsible for Recreation Petty Cash.
  • Responsible for ordering medical supplies and office supplies.
  • Coordination of schedule for coverage for reception.
  • Completes bi-weekly payroll for reception staff.
  • Responsible for timely and accurate record maintenance including general documents, correspondence, and invoices.
  • Coordinates Hairdressing schedule between Residents and Hairdresser.
  • Manages bi-weekly billing.
  • Manages day-to-day resident accounts including accounts payable and receivable, bill payments and rental payments.
  • Manages monthly and quarterly reports for families and finance.
  • Manages petty cash.
  • Maintaining Census.
  • Obtaining and distributing bus passes for staff.
  • Obtaining signatures for all financial documentation for all residents, and other documents deemed by management or corporate finance.
  • Strong customer service for residents and families answering questions and providing information as needed in a timely manner.
  • Ordering personal supplies and items for residents per request.
  • Assist with Smoking policies and obtain supplies for residents.
  • Additional tasks as determined by facility Administrator.

Qualifications

  • Bachelor's degree in Business Administration, Healthcare Administration, Human Resources, or a related field required. An equivalent combination of education and relevant experience may be considered in lieu of the degree requirement.
  • 2-5 years’ experience in office management or hospitality environment.
  • 1-2 years supervisory experience or comparable training.
  • 1-2 years’ experience providing services for the elderly in a similar setting preferred.
  • Demonstrated ability to multi-task.
  • Strong written communication skills.
  • Outstanding interpersonal skills, including the ability to communicate effectively with clients, residents, and families from diverse backgrounds who may have physical, sensory and mental impairments.
  • Proven customer service skills.
  • Proficient in MS Office and able to learn new software rapidly.

 

An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
